General Instructions

Objectives
----------
PAF offers a wonderful opportunity to establish a living, ever-growing and
ever-improving data base of our ancestors. As family history researchers,
our goal is to achieve a high quality information source for genealogy
research. To this end, we have established some reasonable standards to
achieve an ever improving family history data base.
We envision a genealogy data base which improves as it grows over the
coming decades. We can all contribute to and copy from the data base as we
compile our personal genealogies. One way our goal of a high quality data
base can be achieved is by standardizing the way family researchers
document information sources. These source documentation guidelines are
(1) a suggested approach to standardizing source documentation; (2) the
product of your feedback over the past several years; and (3) consistent
with the present ease-of-use and flexibility of the PAF program.
Using the PAF program, we can copy data base segments from other
researchers or from FamilySearch, and merge this information with our own
ancestral data bases. FamilySearch is available on CD ROMS at Family
History Centers. Since this information is already in computer-readable
format, copying and merging are more fast and error free.
This committee offers the following guidelines for composing PAF notes. We
urge you to carefully follow rules and examples in this Guideline when
making entries in your PAF Notes. Widespread adherence to these standards
by all PAF users will make our PAF research note information more
universally interchangeable.
Rules For Good Documentation
----------------------------
1. Document as you go.
2. Enter notes in a consistent format.
3. Use confidential information with discretion and sensitivity.
4. List all sources found.
5. Identify conflicting or missing information.
6. Avoid using unusual abbreviations.
7. Indicate additional research where needed.
8. Strive to obtain primary sources for each event.
9. Indicate the location of lengthy documents, rather than
restating.
10. Welcome input and constructive review of your documentation.
11. Identify all researchers' contributions including your own. Use
your name, not "I" or "me."
12. Recognize that good documentation requires a process of
continuous refinement.

Using Note "TAGS"
-----------------
Tags are concise key words which identify the essential genealogical
content of a referenced source. Used properly, they simplify and
facilitate the process of locating, gathering, and distributing
genealogical data. For example, the FR FOCUS feature can be used to query
and report on individuals with common tags. In another use, GEDCOM
transfers tags embedded in notes for Ancestral File and LDS Temple
submissions. When used in a standardized manner, our collective data can
be freely shared and understood.
Four main categories of tags are listed in Table 1 which you use to help
organize your notes. You may also create other tags to meet your specific
needs. Event Tags indicate fundamental time points which highlight a
person's life. Linkage Tags indicate which relationships are stated in the
source. Subject Tags identify supplemental genealogical information.
Research Tags point to necessary further investigations or provide clarity.
Use any and all tags which apply to each source you reference. Optional
Event Tags for LDS users are included in the last column.

The following tags are changed or added from previous Editions of the PAF
Documentation Guidelines. Subject TAG Changes: CENSUS is redefined as a
Subject Tag and removed as an Event Tag; Citizenship is added to identify
one or more sources which prove citizenship for the individual; CEMETERY
is added to document cemetery names in Notes rather than the practice of
placing such a name in the Burial Place field during individual entry.
HOSPITAL is added to document the hospital name where birth or death took
place. Reference TAG Changes: PLACE has been added to document the change
of place names over time, especially when they no longer exist. Event TAG
Changes: CREMATION is added to document the details surrounding the event

of a cremation and the location of remains, after entering a cremation in
PAF's Burial Fields.

Rules For Documenting Sources In PAF
---------------------------------------------------------------------------
Instructions
------------
These rules are an expansion of those guidelines in the PAF 2.2 Reference
Manual, pp 1:36-42, pp 4-29 to 4-31. Each source is comprised of several
elements or entry fields. These fields are used to group information about
the source for the individual whose notes you are recording.
Enter information in order by fields A through H below. Use commas to
separate supporting details within a field. Use semicolons to separate
each field, Insert semicolons for blank fields. Use a period to end the
source definition. Use a blank line to separate sources in your notes.
Avoid using colons if no tags are used.
General Practices
-----------------
In using tags, the choice of which tag to use largely depends upon the
context of each source. For example, if a census record is used to
illustrate residence, then you may elect to use the RESIDENCE tag.
Alternately, if listing a chronology of several censuses, the CENSUS tag
may be germane. You need not include every relevant tag.
Research Tags may be entered without conforming to the source field
formats, since usually they are literal notes. For example, CONFLICT:
Birth date on cert 5 May 1894 differs from 4 May 1894 date used during life
and on tombstone need not be entered with field semicolons.
Avoid using internally referenced notes. For example, creating a custom
tag called "SOURCE: (B102)" and then referencing it within another source
or note causes problems for others: those who may not receive your private
source listing; or for public databases that will likely inherit duplicate
cross reference numbers from unrelated individual's submissions. Using
privately encrypted source information is generally an unwise documentation
practice, since others can't readily decode it. Place private cross
references in an external file and use the "FILE:" tag.
Use semicolons accurately! Insert double semicolons to indicate missing
fields: "; ;". Careful adherence to these rules will save you countless
hours later when source citations are incorporated into PAF. Future
versions of PAF will have utilities to convert those sources that exactly
use these standard fields. If you are having difficulty with this, we
encourage the use of the HotNotes! Utility (for PC compatibles) which

explicitly guides proper placement of semicolons for source citations in
Notes.
Use common abbreviations and omit obvious or superfluous punctuation like
periods and commas within a Source note. This saves some space in your
Notes and typing. Be careful not to get so cryptic that you fail to
clearly convey meaning. If unsure, use complete words and punctuation.
A. Family Group Notes Print Character (Prefix letter for all public
sources.)

! - Identifies Notes that are to be included in Family Group Sheet
printouts, as well as Ancestral File and LDS Temple submissions.
Exclamation points will not be printed with tags on the family group sheet
notes. Omit this character if you want your notes to be private, remaining
solely in your files.
B. TAG: (Categorize the source.)
--------------------------------
This entry is the Event, Linkage, Subject or Research Tag that labels the
entry for subsequent computer searching. Enter in all capital letters and
follow with a colon. When more than one tag applies, separate each with a
hyphen and end with a colon. Leave a blank line after each source entry.
C. Title (Briefly describe or name the source.)
------------------------------------------------
This is the name or description of the particular source record. For a
book, state the author's or compiler's full name, followed by a comma, then
by the title ALL IN CAPITAL LETTERS. When referencing a periodical, place
"quotes around the title" of an article.
D. Years Covered (Enter the FROM-TO years this source covers.)
--------------------------------------------------------------
Enter the year or entire span of years covered by this source. Separate
with a hyphen, such as 1833-1857 or simply 1923 if it only covers one
event. Providing these dates allows you or other researchers to see
quickly what time period this source covers when doing other related
research.

E. Unique Source Identification (Enter who ORIGINATED the source and
reference qualifiers.)

Include any combination of: Series, Volume, Part, Folio, publisher
information (Pub date, Publisher, City, Date), Item Number (for microfilm)
which completely and uniquely indicate who originated the source.
F. Specific Reference (Enter on which PAGE to find this specific source
information.)
------------------------------------------------------------------------
Enter the specific Page Number: e.g. p 123 or pp 17-19. Optionally an
item or line number may be entered, such as in a census or church registry.
This field directs readers to the specific quoted or referenced matter
within the source. Usually this field is unique and consequently must be
entered each time the same source is quoted. In practice when reusing the
same source over and over again, you must enter this specific reference
each time.
G. General Reference (Indicate the REPOSITORY where to obtain or
personally view the source.)
-----------------------------------------------------------------
Enter the actual physical location or repository of this source, (e.g.
Sutro Library, San Francisco, CA). If in a library, enter its call number
(e.g., book, fiche, or film). If somewhere else, enter a complete
description revealing its location, such as photocopy obtained from Co
Clerk in poss of John Smith, Salem OR. This field informs readers where
they may obtain copies or examine the actual source. Use discretion and
avoid quoting addresses and phone numbers of individuals unless they've
granted permission. Your sources may become a public record if submitted
to Name-Matching or the Ancestral File.
H. Notes (The main details or information of a note. End a note with a
period, followed by a blank line.)

The source references optionally may be continued by entering specific or
summary details from this source. When doing so, place the most
significant and essential details on this individual directly in your note.
As appropriate, include helpful research tags such as NOTE, COMMENT,
QUESTION, ACTION, or CONFLICT, then a brief explanation or comment. Place
more lengthy text (biographies, histories, etc.) into one or more separate
documents or files, then reference them in PAF notes. See the samples of
Note entries that follow.

should enter them into your PAF notes. Search though the listing and find
the example you seek. For example if you are looking for vital records,
find the heading, Vital Records, then study the various illustrated
examples. These examples show sources listed in normal bibliography
format, followed by the corresponding source data entry which conforms to
the PAF Guideline. For example:

Load External or Separate Note Files back into FR

When configuring the PAF program, you are given the choice of using
separate files to store your notes, on the last screen of the configuration
program, third option: "Use separate files for notes rather than usual
notes file? (Y/N)." If you set this option to Y (Yes), PAF will NOT store
your documentation notes in the NOTES2.DAT file which is part of your PAF
database. Instead, each time you enter notes for an individual, PAF will
create a separate ASCII file with the individual's RIN number as the
filename. The filename will be not include a file extension. The separate
note files will be evident when you enter a DOS DIRectory command for the
sub-directory where your PAF database is located. You will see a series of
files with numbers as filenames. The number corresponds to the RIN number
of the individual for whom the notes apply.
Keeping notes in separate ASCII files will make it possible to use a
standard word processor or editor to modify and enhance your notes.
However, using this technique has two very serious drawbacks. First, if you
should ever change the RIN numbers in your database, the notes filenames
will no longer match the individual's RIN in your database. Second, any
copying or backing up of data using the DAT file extension of the PAF
database files will ignore the separate note files and may result in the
loss of your notes. If you wish to use separate note files, use extreme
care to avoid losing or misplacing the note files.
If you have already created separate note files and wish to move (copy)
them into the PAF database (NOTES2.DAT), use HotNotes! Version 2 or higher
to insert these external files back into your notes. Following these
steps:
o Examine each separate note file and verify that the filename
corresponds to the RIN number of the individual in your database.
If there are files that do not match the corresponding
individual's RIN'S, make a note of the correct RIN the file
belongs to.
o Make sure that your PAF program is configured to not use separate
note files. On the last screen of the configuration program, you
should specify "N" for the "Use Separate Note Files" option.
o Navigate to the note screen for each individual for whom you have
a separate note file. Position the cursor where you wish the
text from the separate note file to be inserted.

o Using the "File Insertion" (Alt-F) feature of HotNotes! Version 2
or higher, copy the note file into the notes screen for the
corresponding individual. When you press Alt-F, a dialog box
will appear where you must enter the filename to be copied into
the note screen. Enter the filename of the separate note file
(usually a numeric value) and press ENTER. Copying the ASCII file
into the PAF note file will not destroy the original ASCII file,
so after you are satisfied that the notes are in your PAF
database, the ASCII files may be deleted using the DOS DELete
command.

Enhancing PAF FOCUS Reports with TAGs in Notes
---------------------------------------------------------------------------
Entry of complete and consistent notes makes it easy to create useful PAF
Focus Reports (Item 7 on PAF Main Menu, IBM-PC Version). The secret to
successful use of PAF Notes Focus is to follow these simple rules when
entering Notes:
o Be consistent in spelling within PAF Notes. PAF Notes FOCUS
looks only for an exact word or phrase. The search text can
include any combination of alpha-numeric characters.
o Don't let a long word or phrase you might want to FOCUS on wrap
between two adjacent Note lines. For example, if you FOCUS on
the phase "Mary & John", (the name of a ship), and the word
"John" wraps to the following line, FOCUS will not put this
person in the FOCUS List.
o For faster FOCUS operation, enter just enough text to uniquely
identify a person. For example to FOCUS on NOTE text, the

Key Stroke Resulting Action
ALT + L MARK LINE (To mark two consecutive lines, move cursor to line
below and press ALT + L again).
ALT + M MOVE MARKED LINE(S) (before pressing ALT + M, move cursor to
line above where Moved Lines are to be inserted. (You can't insert partial
lines).
ALT + C COPY MARKED LINE(S); works like MOVE MARKED LINE(S), except
originally marked lines stay and remain marked.
ALT + R REMOVE MARKS FROM LINE(S) if you change your mind.
ALT + D DELETE MARKED LINE(S).
ALT + H to get HELP.
F10 KEY DELETE FROM CURSOR TO END OF LINE.

Enter all people documented in a source in one session. This allows PC
compatibles to use the Notes DITTO KEY (F8) to merge in and edit notes from
the previous person.
